Administrative Assistant

Reports to: Assistant Manager of Legal Services

Term: Fixed Term, July 2022 to 31 March 2023, 20 hrs/wk

Location: Gatineau, QC


The Administrative Assistant will be responsible for providing general administrative support services to the Assistant Manager of Legal Services, including but not limited to reviewing and directing correspondence, filing and updating administrative/budget-related documents, and scheduling meetings. The Administrative Assistant will work in a trauma-informed, reconciliation-driven environment that supports up uplifts Indigenous women, girls and gender-diverse people.

Purpose of the Position

The Administrative Assistant will be responsible for undertaking general administrative tasks as instructed to ensure the smooth and successful implementation of project activities. The administrative assistant will report directly to and receive instructions from the Assistant Manager of Legal Services.

General Duties

  • Schedule internal and external meetings;
  • Assist in the updating, filing and management of files;
  • Review, organize, and manage administrative requests and tasks as instructed;
  • Assist the Assistant Manager of Legal Services with project related reports and paperwork;
  • Provide administrative support to other members of the Legal Unit where instructed by the Assistant Manager of Legal Services;
  • Maintain a high level of confidentiality in all interactions;
  • Other duties, relevant to the position, shall be assigned as required.

Requirements and Experience

  • Strong written and verbal communication skills in English and French;
  • Strong organizational and time management skills;
  • Ability to multitask and prioritize assignments;
  • Exceptional editorial and document review skills;
  • Excellent record keeping and file management abilities;
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint);
  • Minimum 5 years work experience in an administrative position;
  • Awareness of TRC Calls to Action and MMIWG Calls for Justice an asset;
  • Proven record of integrity; and
  • University or college degree is an asset

Work Conditions

  • Busy office setting, primarily virtual with some in-office meetings, including periods of computer/desk-based work (i.e., sitting, keyboard use, monitor use, etc.);
  • Manual dexterity required to use desktop computer and peripherals; and
  • Interactions with general public and with constituent groups (Indigenous women and 2SLGBTQIA+ persons) particularly.
